Commitment to Te Tiriti o Waitangi
Table Tennis NZ recognises Te Tiriti o Waitangi as Aotearoa New Zealand’s founding document and is committed to upholding the mana of Te Tiriti o Waitangi and the principles of Partnership, Protection and Participation.
Policy 11: Privacy
Purpose
This policy aims to help people involved in Table Tennis NZ understand how their personal information may be used and stored by Table Tennis NZ.
Application
This policy applies to all people providing personal information to Table Tennis NZ. Personal information means information about a person. Personal information may be collected via any Member Management System (MMS) that Table Tennis NZ or any of its affiliated Table Tennis organisations may use for the purposes of managing membership.
Collecting personal information
When you become a member of, or participate in Table Tennis NZ activities, Table Tennis NZ will need to collect some personal information from you (or family/whānau of children). It may also collect other information needed to perform its functions, or where required by law.
Personal information means any information about an identifiable individual, and can include contact and identifiable details, demographic data, membership history, payment and account/credit card data, performance results, and health/medical information relevant to table tennis participation, results and images from events, and any other information you provide to us in your correspondence with us.
Table Tennis NZ may collect this information directly from you with your permission, or from any Table Tennis NZ affiliated organisations. Table Tennis NZ may also collect personal information from national organisations it is affiliated to, for example, the New Zealand Olympic Committee, Paralympics New Zealand, Drug Free Sport New Zealand and The The Sport Integrity Commission NZ.
Using personal information
Table Tennis NZ will never sell your personal information.
Employees of Table Tennis NZ may have access to your personal information to do their work. Their access to your personal information is limited to what is necessary for the purposes of their work for Table Tennis NZ.
Agents and subcontractors of Table Tennis NZ may have access to personal information needed to do their work on behalf of Table Tennis NZ but may not use it for any other purposes.
Table Tennis NZ may be required to share your personal information with the community, regional and/or national and/or international organisations it belongs to, other organisations which are affiliated to it that you belong to or have applied for membership to, for example The Sport Integrity Commission NZ, Sport New Zealand, High Performance Sport New Zealand, the NZ Olympic Committee and Paralympics New Zealand, ITTF-Oceania and International Table Tennis Federation (ITTF).
Your personal information may be used:
- for Table Tennis NZ activities and operations
- to consider an employment or volunteer application
- to amend records to remove or update personal information
- for Table Tennis NZ’s everyday business purposes that involve use of personal information
- to promote table tennis including marketing and advertising for Table Tennis NZ and commercial partners
- to comply with the law; or protect our rights, property, or safety, or that of our members, or others
Storing and disclosing personal information
Table Tennis NZ will maintain all reasonable protections against the loss, misuse, or inappropriate disclosure of your personal information, and maintain processes to prevent unauthorised use or access to that information.
Table Tennis NZ will keep all physical documents secure, both inside and outside its premises.
Table Tennis NZ will keep electronic personal information secure by making sure its data storage is protected from external sources, maintaining regular back up and applying good security practices.
Table Tennis NZ may use cloud computing. Where used, Table Tennis NZ will ensure that cloud computing solutions meet good practice security requirements.
Requests for personal information
You have the right to access and correct your personal information (or a minor that you have legal guardianship over) in accordance with the Privacy Act 2020. If you want to access or correct your personal information (or a minor that you have legal guardianship over), please contact the Table Tennis NZ Privacy Officer at TTNZ@tabletennis.nz
Table Tennis NZ will not disclose information about children to family/whānau unless there is a clear legal right to access that information.
Any questions about Table Tennis NZ’s compliance with the Privacy Act should be referred to the Table Tennis NZ Privacy Officer.
Retention
Table Tennis NZ will keep your personal information only as long as it is required for the purposes it was collected for.
Changes to the Policy
Table Tennis NZ can modify and amend this policy from time to time, and updates will be published on the website.
Marketing and Promotional Materials
You give permission for Table Tennis NZ to send marketing and promotional materials related to table tennis events, programmes, and opportunities. Please contact the Table Tennis NZ Privacy Officer TTNZ@tabletennis.nz if you would like to opt out of this.
Breach or complaint
Breaches of this policy include breaches of any of the Privacy Principles under the Privacy Act 2020.
You may contact the Table Tennis NZ Privacy Officer on TTNZ@tabletennis.nz if you have any questions or complaints about Table Tennis NZ’s collection or use or disclosure of your personal information. Table Tennis NZ will respond to your query or complaint within a reasonable time period and advise you of next steps in dealing with your complaint. If your complaint is not resolved to your satisfaction, you may file a complaint with the Office of the Privacy Commissioner, which can be done via their website at www.privacy.org.nz, by calling 0800 803 909, or using their online complaint form.
